1. General

These Terms & Conditions apply to activities, accommodation, sauna services, venue hire, meals and other services purchased directly from Karu Lodge Oy through its website, booking system, email, telephone or other direct sales channels.

Bookings made through a third-party marketplace or travel partner may also be subject to the terms and conditions of that provider.

By making a booking, the customer confirms that they have had the opportunity to review the product description, price, payment terms, cancellation terms and these Terms & Conditions.

The terms applicable to a booking are those in force at the time the booking is made.

2. Booking and Confirmation

A booking becomes binding once it has been confirmed and the required payment has been successfully completed, or other payment terms have been agreed.

The person making the booking must be at least 18 years old unless otherwise agreed in connection with the specific service.

The person making the booking is responsible for the accuracy of the information provided and for checking the booking confirmation.

If there is an error in the booking confirmation, the customer must contact Karu Lodge Oy without undue delay.

3. Prices

All prices are stated in euros unless otherwise specified.

The price includes the services expressly stated as included in the relevant product description.

Optional services, transportation from locations other than those stated, additional food or refreshments, equipment or other extras are not included unless expressly stated.

Prices shown to consumers include the applicable VAT unless otherwise indicated.

4. Payment and Cancellation Terms

Payment and cancellation terms depend on the service booked. Product-specific terms stated during booking, in the product description, quotation or booking confirmation take precedence.

4.1 Activities

Unless separate cancellation terms are stated for the specific product:

  • cancellation more than 14 days before the service: full refund
  • cancellation 8–14 days before the service: 50% cancellation fee
  • cancellation 7 days or less before the service: 100% cancellation fee.

The booking is paid at the time of booking unless otherwise agreed.

If the booking was made through a third-party sales channel, cancellation is handled according to that provider’s cancellation process and applicable terms.

4.2 Accommodation

The booking deposit for accommodation is 30% of the total booking price unless otherwise agreed in writing.

The booking deposit is payable when the booking is confirmed and is non-refundable if the customer cancels the booking.

The remaining balance is due 65 days before the start of the accommodation period.

If the booking is made less than 65 days before arrival, the full booking price is payable at the time of booking.

If the customer cancels the accommodation booking less than 65 days before arrival, the full booking price will be charged.

4.3 Smoke Sauna and Tailor-Made Service Packages

Payment and cancellation terms for smoke sauna services, venue hire, meals and tailor-made service packages are stated in the product description, during booking, in the quotation or in the booking confirmation.

Smoke sauna services may be charged in full at the time of booking or according to another payment schedule agreed in writing.

5. Changes Requested by the Customer

Requests to change the booking date, number of participants or other booking details should be made as early as possible.

Changes are subject to availability and may affect the price.

Karu Lodge Oy is not required to accept a requested change that cannot reasonably be accommodated.

6. Transportation and Pickup

Transportation is included only when expressly stated in the relevant product description.

Where transportation is included, pickup will take place from the location and at the time stated in the product description or booking confirmation.

Customers must be ready at the agreed pickup point before the scheduled departure time.

If the customer arrives at Karu Lodge by their own car or otherwise independently, they must follow the arrival time stated in the product description or booking confirmation.

Transportation from locations other than those stated for the product may be arranged separately and may be subject to an additional charge.

7. Late Arrival and Missed Pickup

The customer is responsible for arriving at the correct meeting or pickup point at the stated time.

If the customer misses the pickup or arrives so late that participation is no longer reasonably or safely possible without significantly disrupting the group, participation may be refused.

As a general rule, no refund will be provided where the delay or failure to participate is caused by the customer.

8. Weather and Arctic Conditions

Karu Lodge activities take place in genuine Arctic conditions.

Weather, snow, ice, temperature and other natural conditions may affect the planned activity.

For safety reasons, Karu Lodge Oy may modify:

  • the route
  • the schedule
  • the duration
  • the method of carrying out the activity
  • individual programme elements.

Where possible, an alternative arrangement may be offered.

Natural phenomena such as the Northern Lights, snowfall, clear skies, wildlife sightings or specific snow conditions cannot be guaranteed.

9. Cancellation or Major Changes by Karu Lodge Oy

Karu Lodge Oy may cancel or substantially modify a service where this is necessary because of unsafe conditions, circumstances beyond the company’s control, force majeure or another reason preventing the service from being delivered as planned.

If Karu Lodge Oy cancels a service and the customer does not accept a reasonable alternative arrangement, the amount paid for the cancelled service will be refunded.

If the customer fails to make agreed payments on time or otherwise materially breaches the booking terms, Karu Lodge Oy has the right to cancel the booking.

These terms do not limit any mandatory rights the consumer may have under applicable consumer protection legislation.

10. Clothing and Personal Equipment

Customers are responsible for dressing appropriately for Arctic conditions unless suitable clothing is expressly stated as included in the product.

Warm winter clothing, suitable winter footwear, gloves or mittens, a hat and sufficient layers may be essential for participation.

Karu Lodge Oy may refuse participation where the customer’s clothing or footwear creates an obvious safety risk and the situation cannot reasonably be corrected.

During outdoor activities, clothing and personal belongings may be exposed to snow, moisture, smoke, dirt, sparks and normal outdoor wear.

11. Safety Instructions

Customers must follow the safety instructions given by Karu Lodge Oy guides and staff.

A guide may modify or stop an activity if continuing would create a safety risk.

Customers must not behave in a way that endangers themselves, other participants, staff, animals, property or the environment.

12. Alcohol and Drugs

Participation may be refused or a participant may be removed from an activity if they are under the influence of alcohol, drugs or other intoxicating substances to an extent that creates a safety risk or substantial disruption.

As a general rule, no refund will be provided where participation is prevented because of the customer’s own intoxication or other conduct for which they are responsible.

13. Children

Children participate according to the minimum age requirements, supervision requirements and other restrictions stated for each product.

Parents or guardians are responsible for supervising children unless supervision has expressly been transferred to Karu Lodge Oy as part of the booked service.

Product-specific rules may apply, for example, to sledding, sauna use, ice swimming or other activities.

14. Food, Allergies and Dietary Requirements

Where food or drinks are included in a service, the product description will explain the general nature of the offering.

Customers must inform Karu Lodge Oy in advance of relevant allergies and dietary requirements.

We will make reasonable efforts to accommodate dietary requirements where possible, but not all dietary requirements or severe allergies can necessarily be accommodated safely.

Customers with severe allergies should contact Karu Lodge Oy before booking or participating so that the suitability of the service can be assessed.

15. Health and Ability to Participate

Some activities require a reasonable level of mobility or physical fitness.

The customer is responsible for reviewing the product description and assessing whether the activity is suitable for them.

Any health condition, mobility limitation or other safety-related matter that may affect safe participation should be communicated to Karu Lodge Oy before the activity.

The guide may adjust participation where necessary to ensure safety.

SPECIAL TERMS FOR ACCOMMODATION
16. Accommodation Times

The accommodation is available from 4:00 PM on the day of arrival and must be vacated by 12:00 noon on the day of departure unless otherwise agreed.

17. Accommodation Equipment and Supplies

An initial supply of toilet paper, kitchen paper and cleaning products may be provided at the start of the stay. The customer is responsible for purchasing any additional supplies needed during the stay unless otherwise agreed.

Bed linen and towels are included only where this is expressly stated in the product description, quotation or booking confirmation.

Where bed linen is not included, it may be ordered separately according to the current price list.

18. Final Cleaning and Condition of the Property

Where final cleaning is included in the accommodation price, the customer is still required to leave the property in a reasonably tidy condition following normal use.

This includes, for example:

  • returning furniture and equipment to their proper places
  • washing dishes
  • disposing of rubbish in the designated place
  • removing major stains and obvious dirt
  • leaving the outdoor area tidy following normal use.

If the property requires exceptional additional cleaning after the customer’s stay, Karu Lodge Oy may charge the reasonable actual costs incurred.

19. Smoking and Pets

Smoking is prohibited inside Karu Lodge Oy accommodation and other buildings.

Whether pets are permitted is stated on a product-specific basis. Where pets are not permitted in the accommodation or service, this condition must be respected.

20. Damage

The person making the booking is responsible for the accommodation and its contents during the booking period.

The person making the booking is liable for damage caused intentionally or through negligence by themselves or members of their party to Karu Lodge Oy buildings, structures, furniture, equipment or other property.

The customer must inform Karu Lodge Oy of any damage as soon as possible.

Karu Lodge Oy may charge the reasonable costs of repairing damage.

Where damage has been caused intentionally, Karu Lodge Oy also reserves the right to claim compensation and other costs in accordance with applicable law.

21. Personal Belongings

Customers are responsible for their own personal belongings.

Karu Lodge Oy is not responsible for personal belongings that are lost, forgotten or damaged unless liability arises under applicable law because of an act or omission for which Karu Lodge Oy is legally responsible.

22. Complaints

If there is a problem with the service or accommodation, the customer should inform Karu Lodge Oy as soon as possible and preferably during the service or stay so that the issue can, where possible, be addressed immediately.

Complaints made after the service must be submitted in writing without undue delay to:

kaija@karulodge.fi

This section does not limit the customer’s statutory rights.

23. Privacy

Personal data is processed in accordance with Karu Lodge Oy’s Privacy Policy and applicable data protection legislation.

The Privacy Policy is available at:

24. Applicable Law and Consumer Disputes

These Terms & Conditions are governed by Finnish law without limiting any mandatory consumer rights that may apply.

If a dispute cannot be resolved directly with Karu Lodge Oy, the consumer may contact Finnish Consumer Advisory Services and, where applicable, refer the matter to the Finnish Consumer Disputes Board.

Any deviation from these Terms & Conditions must be agreed in writing.
